B2B Case Study Template (Copy-Paste Structure + Real Example)

Below is the exact template we recommend for B2B case studies: seven sections, 500–1,000 words total, structured for buyers who skim. Copy it, fill it in, done. Guidance and a worked example follow.

Section-by-section guidance

Headline. Lead with the result, not the customer name. "How Fugro Standardised Proof Collection Across 3 Regions" beats "Fugro Customer Story." If you have a number, use it.

Snapshot. Many buyers read only this box. It must stand alone: a prospect should be able to tell in five seconds whether this story is relevant to them. Match the fields to how your buyers segment themselves (industry, size, tech stack, use case).

The Challenge. The most important section. Your prospect needs to recognise themselves here. Write it from the customer's perspective, quote them directly, and always include the cost of the problem — "we were losing about a day per week" turns a complaint into a business case.

Why they chose you. Frequently skipped, quietly powerful. Naming the alternatives they considered ("we looked at doing it manually and at hiring a freelancer") pre-handles your prospect's objections.

Solution in practice. Show a Tuesday. "Every Friday, Maria forwards the week's call transcripts and reviews the drafts Monday morning" is worth ten feature bullets.

Results. Ranked strongest to weakest: hard metrics with timeframes → before/after comparisons → directional statements → sentiment. Use the strongest tier you can honestly support. Never round a customer's number up.

Pull quote. One sentence, under 25 words, that could live on a slide by itself. This is the line sales will actually reuse — choose it deliberately.

Worked example (abridged)

How a 12-Person Software Agency Cut Proposal Time in Half

SNAPSHOT — Industry: Software services · Size: 12 · Use case: Proposal proof · Results: 50% faster proposals, 3× more case studies live

The Challenge. The agency had delivered strong projects for five years but had only two written case studies, both outdated. "Every proposal, we'd rewrite the same project descriptions from memory," said the founder. "Probably half a day per proposal, and it still felt generic." Deals stalled when prospects asked for relevant references.

Why they chose Casily. They considered hiring a freelance writer (£400–600 per case study, 3-week turnaround) and briefly tried a generic AI writer, which produced "polished nonsense with made-up quotes."

The Solution in Practice. The team forwards project retro calls and client check-ins to their Casily inbox. Each becomes a tagged proof asset; when a proposal goes out, they match the two most relevant case studies to the prospect's industry and problem.

The Results. Proposal prep dropped from ~4 hours to under 2. The proof library went from 2 case studies to 7 in a month. "The first proposal we sent with matched case studies closed in nine days," the founder noted.

Filling the template from calls instead of interviews

You don't need to schedule an interview to fill this template — your existing call transcripts (sales calls, onboarding, QBRs) contain every section. See the full walkthrough in How to Turn a Call Transcript into a Case Study, or use Casily to run the extraction and drafting automatically: forward a transcript, get this exact structure back as a draft.

Frequently asked questions

How long should each case study be?

500–1,000 words written; a one-page PDF version; a 3-slide deck version. All from the same filled template.

Can I use this template for anonymised case studies?

Yes — replace the name with a descriptor ("a 200-truck European logistics firm") and keep everything else, especially the numbers. Specificity carries anonymised stories.

Written, video, or slides?

Written first — it's the fastest to produce and approve, and it's the version AI assistants and search engines can read and cite. Derive the others from it.
